1. Personal Information Policy

ASK 2025 Global Conference (ASK 2025) complies with the "Act on Promotion of Information and Communications Network Utilization and Information Protection" to actively protect customers' personal information. ASK 2025 informs users of the types of personal information being collected, the purpose for which it is collected, and how it is protected. This policy may change based on laws, guidelines, and internal policies of ASK 2025. In case of any amendments, notice will be provided in accordance with the relevant laws and regulations.

2. Purpose of Collection and Use of Personal Information

ASK 2025 collects personal information for the following purposes. The collected personal information will only be used for these purposes and will not be used for any other purposes without consent.

Classification Confirmation of intent to pre-register for the forum, responding to inquiries about participation, sending forum information through text messages and newsletters, providing information about future events, and sending various notices and notifications.

3. Types of Information and Ways of Collection

ASK 2025 collects the following personal information items to provide its services:

  • 1. Required information: Name (Korean/English), Organization, Department, Position, Contact Information, Email
  • 2. Information generated/collected during service use or business process: Access IP information, Cookies, Visit date, Usage record, Device information, Payment record

4. Retention

ASK 2025 processes and retains personal information for the period required by law or the period agreed upon when collecting personal information. Retention period: Up to 3 years from the end of the event.

5. Information sharing and offering

ASK 2025 will use personal information as outlined in "Section 2: Purpose of Collection and Use of Personal Information." Without prior consent from the user, personal information will not be used beyond these purposes or disclosed externally, except in the following cases:

  • 1. When the user has agreed to disclosure in advance.
  • 2. In accordance with legal provisions or in response to an investigation by an authorized agency.
  • 3. When the user or their legal representative is unable to express their consent due to unknown whereabouts, and the disclosure is necessary to protect the user’s or a third party's life, body, or property.
  • 4. When personal information is provided in a form that does not identify an individual, for purposes such as statistical analysis or academic research.
  • 5. As required under Articles 17 and 18 of the Personal Information Protection Act.

6. Entrust of collected personal information

ASK 2025 may entrust certain personal information processing tasks to third parties for efficient processing and registration services. We ensure that personal information is safely managed during outsourcing contracts in accordance with relevant laws and regulations. If there are changes to the outsourced services or the outsourcing company, we will notify users of these changes.

  • 1. MEDSOFT: Website management and maintenance agency services
  • 2. PayPal: Payment agency services (International cyber payment)
  • 3. KCP: Payment agency services (Korea cyber payment)

7. Disposal of Personal Information

In principle, ASK 2025 will destroy personal information once the purpose for which it was collected has been achieved. The destruction procedure and methods are as follows:

  • 1. Disposal procedure:
    Personal information entered by users, such as through membership registration, is transferred to a separate database after the purpose is achieved (or to a separate filing cabinet for paper records). It is then securely stored for the required retention period. Once the retention period has passed, the data will be destroyed.
  • 2. Disposal method:
    Personal information stored electronically is deleted using methods that prevent data recovery. Paper records containing personal information are shredded or destroyed by incineration.

8. Security

In compliance with Article 29 of the Personal Information Protection Act, ASK 2025 implements the following technical, managerial, and physical measures to ensure the security of personal information:

  • 1. Technical measures:
    Encryption and security functions, use of antivirus programs, adoption of security devices (SSL), and installation of intrusion detection systems to prevent personal information leakage.
  • 2. Administrative measures:
    Implementation of an internal management plan, training for staff handling personal information, and security audits.
  • 3. Physical measures:
    Management of access rights to personal information systems, secure handling of documents and auxiliary storage media, and access control to prevent unauthorized access.

9. Modification of Personal Information Policy

Details on personal information protection, including this "Personal Information Policy," are disclosed at the bottom of the first page of the ASK 2025 website for easy access. The contents of this policy may change over time, so please review it each time you visit the site.
